Indian wedding planning service by Love Italy weddings. In this post we explain what we typically do for you as part of the wedding planning service. The information below relates to a 3-day Indian wedding but it can be adapted for longer or shorter weddings.
Includes:
● Event Planning & Event Management on the day
● Recommendations and booking all external suppliers

● Production of table floor plans and guest seating charts (based on guest lists created by the client using shared wedding planning software)
● Identification per table, to catering manager, of individual guest special requirements/food intolerances for the venue, based on guest lists created by the client using shared wedding planning software
● Detailed logistics event plans shared with suppliers and venue (delivery schedules, timings for set up in line with regulations etc)
● Contingency planning for poor weather
● Budget assistance (for wedding event costs/services in Italy)
● Recommendations and booking group airport transfers (larger groups only, not all individuals)
● Cost of dedicated planning staff throughout planning process from booking to wedding day
● Cost of Wedding Planning Team staff for set up and during events

Details as follows:
1) Event Planning & Management:
Evening Welcome Event, Morning Haldi Ceremony, Lunch & Evening Sangeet, Hindu Ceremony, Lunch & Evening Wedding Reception
● recommendations, booking, planning & organisation of all the events
● defining the timetable: liaison with family, suppliers and venue
● catering planning assistance/liaison between the family and venue – to agree all details
● recommendations for floor plans, layout and set up of the event – coordination between family and venue to ensure both aesthetic and practical/technical considerations are met
● costed recommendations and options to select from for all external suppliers required by the family for the event
● planning & overseeing set up of decorative styling materials & floral design for the event
● coordination with the venue & suppliers; for catering & set up, timetable and organization of third party supplier logistics
Hindu Ceremony:
● recommendations, booking, planning & organisation of the religious Ceremony
● defining the timetable: liaison with priest, family, suppliers and venue
● coordination with the priest as required
Marriage Ceremony Mandap & Ceremony Area Set Up:
● planning the design & overseeing set up of a mandap ceremony area, using an approved professional floral designer, to family specification
● providing quotations/sourcing for a mandap based on your styling/colour & floral preferences
● sourcing hire (as necessary) of furniture & additional items for your ceremony eg. chairs or other small furniture items for under the mandap, fire pit, cushions
2) Floral Design:
Includes planning the design and overseeing set up of floral design at the wedding venue, using your choice of professional floral designer.
● we will agree a decorative moodboard in consultation with the bride using using our wedding planning software
● we will provide recommendations for two suitable alternative floral designers for you to choose from (we are happy to approach designers you have sourced)
● we provide quotations for those two suppliers based on the mood board
● you select and for your chosen florist, we provide detailed quotations based on your styling/colour & floral preferences to define the package for each event
● sourcing hire (if necessary) of furniture & additional decorative set up items
3) Wedding Planning Software – Table Seating, Guest List/Dietary Requirements, Design
Love Italy Weddings uses professional wedding planning software during the planning process which includes:
– a shared guest list which we ask you to compile based on your RSVPs
– specific allergies and special food requirements are mapped by table for communication with the catering staff on the day
– a table seating plan – a diagrammatical floor plan showing names on tables and special food requirements
– design moodboard facility to share/reference images of decor, flowers, printed items, venue spaces, furniture, hire items etc (allows real time chat)
4) Contingency Planning:
During the planning process, where necessary, the Wedding Planner will discuss arrangements for plan B scenarios to accommodate different weather outcomes.
5) Wedding Planner Role & Attendance:
The Wedding Planner will be available at the venue before the first event for final planning discussions.
The Wedding Planner will be active at the venue: during setting up prior to the start of each event and during the actual event hours agreed.
We manage the setting up of the event in readiness for start time and during the event to manage suppliers, ensure perfect set up and smooth choreography of the event.
Role of the Wedding Planning Team: overseeing set up with suppliers booked by Love Italy Weddings and liaison with venue staff for set up/catering purposes. Contact with bride/groom prior to the start of the event to check readiness.
